The client is a global manufacturer of electronic design, measurement and test equipment serving telecommunications, aerospace and defense, semiconductor and advanced manufacturing markets. Within its metrology operations, the organization maintains a substantial portfolio of controlled documents including quality records, procedures, engineering references, calibration documentation and work instructions.

Business Challenge

  • Approver assignment depended on user knowledge and manual judgment, leading to inconsistent routing and avoidable delays.
  • Document owners lacked a single, reliable view of workflow status, decision history and pending actions.
  • Review dates were monitored manually, allowing soon-to-expire or expired documents to remain unnoticed.

1. Metadata-Driven Approval Engine

A centralized Document Types & Approvers list maps each controlled document type to its designated approver or approver group. When a document is uploaded or modified and marked as requiring approval, Power Automate queries this configuration list and determines the routing path dynamically. No approver identities are hard-coded into the workflow.

  • Business administrators can maintain approval assignments directly in SharePoint without redeploying flows.
  • The same workflow supports multiple document categories and future organizational changes.

2. Automated Document Lifecycle Management

Two scheduled flows continuously monitor document review dates and proactively notify responsible stakeholders. A daily flow issues staged reminders four weeks, two weeks and one week before the review date. A weekly governance flow identifies documents whose review date has passed and alerts document and site owners to renew, supersede or archive them.

For document owners, the process remains intentionally simple: upload or update a document, provide required metadata, indicate whether approval is required and check the document in. The platform then performs routing, notifications, status updates, history logging and lifecycle reminders automatically. Approvers interact through familiar Microsoft 365 approval emails without needing to learn a separate application.
